Once your police check has been submitted through to Certsy, there are several stages that occur between submitting your application and receiving your result and certificate.
Stage 1 - Certsy reviews your application and information
Certsy reviews all information you have provided in your application; including your personal information, identity documentation, address history information, and check type. Certsy verifies the documents provided, and thereby verifies your identity against these documents and the information you have provided.
Stage 2 - Certsy lodges your check with NPCS
Once Certsy has confirmed your identity, we lodge your application with the National Police Checking Service (NPCS), using the information provided in your application. The information is entered into a national database owned, managed and operated by the ACIC.
Stage 3 - Your details are searched against the national records
When your check is lodged with the NPCS, your personal details are compared against the national database of names with historical police information, using a name matching algorithm. If your details match any historical police information in the system, your application will be flagged as a potential name match. If your details do not match any historical police information, your result will be released immediately, and your check will skip Stage 4and Stage 5, and go directly to Stage 6.
Stage 4 - Potential name match referred to the relevant state police force
If your application has been flagged as a potential name match, your details will be referred to the relevant state police force where the match has occurred. If the relevant state police force confirms your details do not match the record of historical police information, your application will be returned to Certsy with a result of 'No Disclosable Court Outcomes'. If this is the case, your check will skip Stage 5, and move straight to Stage 6.
If the relevant state police force determines that your details match the record of historical police information, your application will be referred for further assessment.
Stage 5 - State police force assess name match and apply relevant spent conviction legislation and/ information release policies
If your details are matched to information found in the historical police information database, the relevant state police force will determine what information, if any, can be released in accordance with the spent convictions legislation of the state, and the information release policies by which they are bound.
Stage 6 - Police check result is released to Certsy
Once your police check has been lodged, and if flagged as a potential name match has been processed by the relevant state police force, the result is released to Certsy.
Stage 7 - your Certsy police check certificate is available
As soon as your result is released, Certsy will create your Nationally Coordinated Criminal History Check certificate, and will notify you that it is ready to be downloaded from your Certsy account. If your result includes Disclosable Court Outcomes, Certsy will provide details of your result in your certificate.
